Reservation Information
Ready to host your event at the Student Union Event Center? To request a space, you will need to submit our Event Center Reservation Request Form [pdf].
Before you begin, please review the steps and required details below to ensure a smooth booking process.
1. Gather Your Event Information 🎬
To complete the form, you will need to provide the following details:
Event Basics: Event name, date(s), expected attendance, and a brief description of your event.
Contact & Billing: Your department/organization name, main contact info, and a billing address.
Access Times: Note your event's actual start/end times, as well as any set up loading, and post event take down times you will need.
Arena Use: Indicate if you are requesting usage of the main Arena space.
2. Specify Your Event Equipment & Service Needs 🎤
Our full-service Operations and AV departments will help bring your event to life. On the form, you can request:
Audio/Visual Services: Microphones, LED screens, projectors, stage/up-lighting, camera/recording, teleconferencing, livestreams, or scoreboards.
Operations Equipment: Arena seats, tables, chairs, tents, drapes, A-frame signs, ADA stage lifts, and metal detectors.
Note: All equipment brought in from outside sources must be pre-approved.
3. Review Special Requirements 🎫
Musical Entertainment & Licensing: If your event features live music or a DJ, you must comply with SJSU/SU music licensing requirements (BMI, ASCAP, SESAC, and Global Music). You will need to provide performer details, technical requirements, and proof of DJ insurance if applicable.
Rules Agreement: Be sure to read, initial, and sign the official Rules Agreement form prior to submitting your request.
