Why is SJSU moving from DocuSign to Adobe Sign?
SJSU is moving to Adobe Sign to streamline electronic signature licensing through the university’s Adobe environment, align with the CSU Chancellor’s Office agreement with Adobe, and bring SJSU into closer alignment with other CSU campuses using Adobe Sign.
When will DocuSign go away?
SJSU’s current DocuSign license ends in Spring 2027. The university must be fully transitioned out of DocuSign before that time.
Do I need to do anything now?
Most campus users do not need to take action right now.
Template owners, Power Users, and departments that rely on DocuSign templates or PowerForms may be asked to review existing templates, confirm ownership, participate in testing, and help prepare users in their areas.
Will all DocuSign templates be migrated?
No. Not every existing DocuSign template will automatically be recreated in Adobe Sign. Priority will be given to templates and PowerForms that have been actively used in the past 2 years and with 5 or more envelopes sent.
What is a PowerForm?
A DocuSign PowerForm is a form that can be accessed through a shared link, often from a department website or email. During the migration, PowerForms will be reviewed to determine whether they should be recreated as Adobe Sign web forms.
Who owns a migrated template or web form?
The department or business process owner remains responsible for the form, workflow, routing, content, approval requirements, and records-retention needs. SJSU IT administers the Adobe Sign platform and provides migration coordination, training, documentation, access support, and technical troubleshooting.
Can SJSU IT decide how my department’s form should work?
No. SJSU IT can provide platform guidance and technical support, but departments and process owners are responsible for confirming business requirements, routing, approvers, form fields, and process readiness.
Will training be available?
Yes. Training and documentation will be available from Adobe for users, template owners, and Power Users as the migration progresses.
Will I still be able to use DocuSign during the migration?
DocuSign will remain available during the transition until specific processes are migrated or until the university reaches the final transition deadline. More details will be shared as migration groups and cutover dates are confirmed.
What happens to completed DocuSign documents?
Departments are responsible for retaining completed documents in compliance with CSU records retention requirements.
