Timeline & Migration Phases
SJSU’s transition from DocuSign to Adobe Sign will occur in phases. This approach allows SJSU IT to coordinate template migration, user training, testing, support, and department readiness while reducing disruption to university operations.

How Migration Groups Will Be Determined
Migration groups will be determined after SJSU completes its review of existing DocuSign templates and PowerForms.
Factors may include:
- Whether the template or PowerForm is actively used
- Whether the template has a current university owner
- Business criticality
- Operational deadlines
- Student, faculty, or staff impact
- Process complexity
- Department readiness
- Training and support needs
What Happens During a Migration Phase
Each migration phase may include:
- Template confirmation: Departments confirm which templates and PowerForms should be migrated and identify appropriate owners.
- Template recreation: Approved templates and PowerForms are recreated in Adobe Sign.
- Template Change Freeze: No changes will be allowed to Docusign templates and PowerForms.
- Testing and validation: Departments and process owners test migrated templates to confirm that fields, routing, roles, instructions, and outputs are working as expected.
- Training and documentation: Users, template owners, and Power Users receive relevant training and guidance.
- Go-live: Approved templates become available in Adobe Sign for live use.
- Post-go-live support: SJSU IT provides platform support and troubleshooting after go-live.
