Adobe Sign Migration Overview
San José State University is transitioning from DocuSign to Adobe Sign for university electronic signature services. This change will align SJSU with the CSU Chancellor’s Office agreement with Adobe and bring SJSU into closer alignment with other CSU campuses using Adobe Acrobat Sign. Interim VP-IT and CIO Chris Wessells announced the migration effort to campus on August 3, 2026.
The university must be fully transitioned out of DocuSign in Spring 2027. SJSU IT is coordinating the platform transition, supporting migration planning, and providing training and documentation to help departments prepare.
What’s Changing
SJSU will move from DocuSign to Adobe Sign for electronic signatures. As part of this transition:
- Existing DocuSign templates and PowerForms will be reviewed for migration.
- Approved templates and PowerForms will be recreated in Adobe Sign where appropriate.
- Adobe Sign training and documentation will be provided for campus users, Power Users, and template owners.
- Departments will be asked to test and validate migrated templates before they are used for live business processes.
What’s Not Changing
Electronic signatures will continue to be available for university business processes. Departments will continue to own and manage the business processes, routing requirements, content, and approvals associated with their forms.
SJSU IT administers the Adobe Sign platform and supports change management, training, documentation, access, and technical troubleshooting. Departments and process owners remain responsible for confirming that their forms, workflows, approval paths, and records-retention practices meet business and compliance needs.
Current Status
The Adobe Sign migration is currently in the planning and discovery stage.
SJSU IT is working with university leadership, template owners, Power Users, and Adobe to identify existing DocuSign templates and PowerForms that should be migrated to Adobe Sign. Migration groups and timelines will be determined after the template review process is complete.
This page will be updated as more information becomes available.
What You Need to Do Now
Most campus users do not need to take action at this time.
Template owners, Power Users, and departments that rely on DocuSign templates or PowerForms may be asked to review existing templates, confirm whether they are still needed, identify new owners where needed, and participate in testing after templates are recreated in Adobe Sign.
If you manage or rely on a DocuSign template or PowerForm, please watch for additional communications from SJSU IT or your division leadership.
Migration Timeline
The full transition out of DocuSign must be completed during Spring 2027.
A detailed migration timeline will be added as migration groups are identified. The transition is expected to occur in phases so that templates, users, testing, training, and support can be coordinated with department needs and critical business timelines.
Training and Support
SJSU IT will provide training and documentation for Adobe Sign users, template owners, and Power Users as the migration progresses.
Training materials may include:
- Adobe Sign login instructions
- Basic user guides
- Reference Guide: DocuSign vs. Adobe Sign Terminology
- Guidance for sending documents for signature
- Guidance for using templates and web forms
- Power User and template-owner resources
- Migration-specific instructions for testing and validation
